This role ensures the efficient operation of the administration office, supports governance processes, and oversees day-to-day office and facilities management. Acting as a face and first point of contact for the organization, the position is responsible for fostering positive relationships, coordinating communications and organizing events. Through these varied responsibilities, the Executive Office Administrator plays a critical role in maintaining operational efficiency, supporting strategic goals, and creating a welcoming and effective work environment.<\/p>\n<p>&nbsp;<\/p>\n<p>KEY DUTIES &#8211; RESPONSIBILITIES<\/p>\n<p>&nbsp;<\/p>\n<ul>\n<li>Executive Support\n<ul>\n<li>Provide confidential administrative support to the CEO, assisting with a wide range of executive-level functions.<\/li>\n<li>Act as a liaison between the CEO and Board of Directors, ensuring timely communication and alignment on key decisions.<\/li>\n<li>Draft and distribute meeting agendas for the CEO, ensuring all relevant materials are prepared and shared.<\/li>\n<li>Assist in the creation and editing of corporate communications and documents, such as reports, presentations, and memos.<\/li>\n<li>Coordinate and schedule meetings for the CEO and Corporate Leadership Team (CLT), ensuring logistics are organized and documents are prepared.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<ul>\n<li>Board and Governance Support\n<ul>\n<li>Attend board and committee meetings (including Leadership Teams, Program, Ethics, and Reconciliation Committees), take minutes, and ensure that meeting actions are tracked and followed up on.<\/li>\n<li>Support the CEO and Board in ensuring compliance with policies, procedures, accreditation standards, and relevant legislation.<\/li>\n<li>Manage the onboarding process for new Board members, including arranging interviews, collecting required documentation (consents, police checks), and responding to inquiries about Board roles.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<ul>\n<li>Office and Facilities Management\n<ul>\n<li>Act as the primary point of contact for all office-related matters, including overseeing day-to-day operations and office supplies.<\/li>\n<li>Ensure office environments are well-maintained, including coordinating light cleaning, stocking essential items, and managing maintenance requests.<\/li>\n<li>Oversee the efficient running of office systems, including telephone, mail, courier, and other office functions.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<ul>\n<li>Financial and Administrative Support<\/li>\n<li>Assist with weekly bank deposits in coordination with the Finance department, ensuring timely and accurate processing.<\/li>\n<li>Complete petty cash reconciliations and maintain appropriate documentation and tracking.<\/li>\n<li>Support financial administration processes by ensuring adherence to internal controls and procedures.<\/li>\n<li>Liaise with Finance staff to support efficient workflows, including coordination of documentation and basic financial tasks as required.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<ul>\n<li>Communication and External Relations\n<ul>\n<li>Serve as a first point of contact for the organization, providing information to visitors, clients, employees and other external individuals.<\/li>\n<li>Develop and maintain relationships with internal and external individuals and organizations, fostering positive interactions and collaboration.<\/li>\n<li>Assist with social media content creation and other external communications to represent the organization effectively and positively.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<ul>\n<li>Event Coordination\n<ul>\n<li>Assist in organizing and managing corporate events, including all staff meetings, training sessions, workshops, and other organizational events.<\/li>\n<li>Coordinate logistics, including preparing meeting rooms, arranging catering, and handling event registrations.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<ul>\n<li>Additional Administrative Support\n<ul>\n<li>Assist with the preparation and management of contracts, agreements, and other corporate documentation.<\/li>\n<li>Perform errands and purchases as required to support the office&rsquo;s needs.<\/li>\n<li>Maintain multiple calendars, schedule appointments, and manage various administrative tasks as directed.<\/li>\n<li>Perform additional duties as reasonably related to the role and requested by the CEO or senior management team.<\/li>\n<li>Reception duties for the administration office<\/li>\n<li>Assist with the volunteer program<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p>Hours of work are 37.5 hours per week. Normal workday is 8 hours, including a 30-minute unpaid lunch break. Working in a busy office environment with frequent interruptions. Some evening and weekend work will be required.
