Project Manager Assistant / Estimator
(PMA)
This position is essential for the execution of the daily restoration requirements of our clientele. This position works with minimal supervision, in constant interaction with (multiple) Project Managers / Estimators. He/She may communicate with customers on a daily basis, and works closely with clients, Production Manager, Estimator and Claims Coordinator. He/She gives direction on behalf of the PM’s, to sub-trades, Lead Technicians and house crews as needed.
Summary of essential job functions
Customer Service:
• Liaison when required on behalf of the PM / Estimator’s with the customer.
• Liaison when required on behalf of the PM/ Estimator to ensure Lead Technicians have completed final walk-through, and have signed off on the Certificate of Satisfaction.
• Liaison with PM’s to assist in oversee job progression of Reconstruction projects.
• Assume administration of projects when PM’s are un-available, on holidays or similar.
Duties
• Liaison with Estimators to input the estimator’s scope into computer based estimating programs such as Xactimate, preparing for Estimators final review prior to it being submitted.
• Full and complete knowledge of vendor programs in order to achieve program compliance.
• Liaison with Estimators to acquire trade quotes prior to submission of estimates.
• Ensure all subtrades adhere to Occupational Health and Safety and company protocols
• Liaison with Estimators to ensure ‘production binders’ are inclusive of all necessary details to move job through the production process.
• Liaison on with PM’s to assist during peak periods, in Coordination of Lead Technicians; daily work schedule including work orders for Emergency Claims. Regularly the PM’s are to directly implement their work orders with Lead Technicians.
• Liaison with the PM’s to Input production note updates and key indicator dates for repair / reconstruction portions of the Job into appropriate job tracking software
• Create Trade and Material Purchase Orders and Coordinate and obtain supplies/material for Rebuild jobs.
• Maintain database to reflect current material pricing
• Assist in monitoring and maintaining of job budgets
• Liaison to assist PM where needed, to co-ordinate work to be completed by sub trades, review quotes and work completed
• Participate in production review meetings
• Ensure schedules are being updated for rebuild / reconstruction projects. That Lead Technicians regularly update their schedules accordingly and ensure that it is communicated to proper personal involved.
• Oversee tool purchases qualifying the need, and ensuring maintenance of tools and equipment related to re-construction
• Maintain inventory system
• Prepare documentation and samples for ICC
• Participate in rotating on-call schedule

Competencies:
• Experience in the restoration, construction or similar industry
• Valid and Insurable Driver’s License
• Competent in the use of Power Tools.
• Knowledge and competence of the Ontario Construction Health and Safety Act
• Knowledge of Xactimate, AutoCAD or similar software
