Office Manager / Controller
Location: Owen Sound, Ontario Hours: Monday to Friday, 8:30 a.m. – 5:00 p.m. Reports to: President/CEO Salary: Starting at approximately $60,000 annually, based on experience
The Role
We are looking for a detail-oriented Office Manager / Controller to ensure smooth daily office operations and maintain accurate financial records. This role combines office management with accounting skills, making it ideal for someone who thrives in a fast-paced, hands-on environment and enjoys balancing organizational and financial duties. The person must be familiar with various accounting systems, including SAGE.
Key Responsibilities
Daily
• Oversee day-to-day office operations to ensure smooth functioning
• Answer incoming calls and direct inquiries appropriately
• Assist the Controller in maintaining accurate financial records
• Update and manage cash flow spreadsheets
• Process invoicing and become familiar with our production software (Mondays)
• Manage filing systems, receivables, and payables
• Match supplier invoices with bills of lading and delivery slips
• Track and follow up on outstanding purchase orders
• Handle petty cash
• Maintain employee timecards
• Order office supplies as required
Weekly
• Manage collections of accounts receivable
• Provide support with human resources requirements
• Maintain and update the employee manual as needed
• Notify management of upcoming employee probation completions
• Prepare accounts receivable and accounts payable trial balances
• Prepare bi-weekly payroll from timecards for both hourly and salaried employees
• Compile weekly sales reports by customer and by salesperson
Monthly
• Prepare monthly sales reports by customer and salesperson
• Ensure employee benefit plans remain current and accurate
• Request and reconcile supplier statements with payables
• Reconcile expense receipts with credit card statements
• Prepare financial statements at month end from G/L & Trial balance
• Remit HST on a quarterly basis and employee with holdings monthly
• Prepare financial statements and back up at year end
Qualifications
• Office management and accounting experience
• Strong organizational and multitasking skills
• Proficiency with spreadsheets and accounting systems
• Attention to detail and accuracy in financial reporting
• Ability to communicate clearly and work effectively with team members
• Familiarity with invoicing systems and production software

• Hours: Full-time, Monday to Friday, 8:30 a.m. – 5:00 p.m.-In person
