FINANCE CLERK

This position is responsible for providing financial, administrative, and clerical services. The position would include reconciling receivables, payables, and bank accounts. Assisting with ongoing finance projects such as revision of standard operating procedures to ensure corporate consistency.
KEY DUTIES – RESPONSIBILITIES
Financial/Accounts Payable
- Maintain a filing system for all financial documents
- Train and become proficient in Sage 300 or future FIS upgrades
- Ensure the confidentiality and security of all financial documents
- Maintain or destroy records according to current records retention policies
- Maintain confidentiality concerning financial and employee pay information
- Input and reconcile processed payables while verifying entries and comparing system reports to balances to contracts and budgets.
- Record checks and prepare for mailing.
- Complete bi-monthly accounts payable-processing while ensuring payables are compliant with internal management and financial controls.
- Train and be competent in broader public sector procurement and expenditure compliance guidelines.
- Maintain accurate vendor files.
- Complete monthly analysis reports of expenditures, exceptions, variances to contract agreements, and budgets.
- Actively participate in supervision, professional development and ongoing self-assessment aimed at developing/enhancing own knowledge and skills
- Process backup reports after data entry
Accounts Receivable
- Maintain list of rent tenants on current payments and rent supplement amounts via posting and reporting in Sage A/R.
- File occupancy and head lease agreements.
- Collaborate with other CMHA clerical staff in compiling and processing rents and AR.
- Maintain finance department records.
- Reconcile rent payments and rent receipts monthly.
- Reconcile general ledger receivable balances.
- Complete monthly management report of rental receipts, variance and exceptions.
Hours of work are 37.50 per week. The normal workday is 8 hours, including a 30-minute unpaid lunch break. Working in a busy office environment with frequent interruptions. Some evening and weekend work may be required.
- A competitive hourly wage ranging between $23.90 and $26.25 (5 step grid)
- Vacation of 4 weeks to start, 5 weeks at 5 years, 6 weeks at 10 years

- College Diploma in Business-Accounting or related field
- Experience with Sage and other Financial Information Systems
- Three (3) years full-time experience in a financial role
- Knowledge of accounting principles, and payroll practices.
- Ability to maintain a high level of accuracy in preparing and entering financial information
- Able to use application software at a proficient level, such as Sage Accounting, Microsoft Excel
- Strong communication and interpersonal skills
- Maturity, a good sense of humour and ability to work well under pressure
- Strong team skills and ability to work well with peers, and with various stakeholders
- Ability to meet time sensitive deadlines
- Excellent attention to detail and high level of accuracy
- Very effective organizational skills and ability to prioritize
- Able to use computer-based accounting systems at a proficient level
- A valid Canadian driver’s license and the use of a reliable personal vehicle
- Minimum $2,000,000 third party liability vehicle insurance
- A satisfactory police record check including vulnerable sector screening
