As a charity igniting the potential in people, we are seeking a Finance Administrator to support our Finance team by overseeing complete set of books for specific program areas.
Responsibilities:
- Establishes and maintains complete set of books for internal client within GAAP compliance. Provides reports to management and funders to enable timely and accurate decision making.
- Primary point of contact for team members in C&E who need help with NetSuite related activities such as data entry or problem resolution.
- Responds to client inquiries regarding budget availability and advises/reminds management of funding contractual obligations.
- Works with Director of C&E and all team members for grant funding, contract and compliance oversight, reporting and documentation, compliance and process improvement.
- Pulls trial balances, balance sheet and P&L statements from NetSuite to analyze variances and spot checks P&L accounts monthly.
- Oversees management of C&E grant/government applications tracking and reporting, ensuring compliance with funding requirements.
- Prepares reports for management to review financial health and determine budget/forecast planning adjustments on a quarterly basis.
- Audits general ledger data and collaborates with finance team members to validate/correct/reallocate information entries from sub-systems i.e. payroll, AR and AP.
- Performs NetSuite controller duties and responsible for maintaining accuracy of financial records for C&E by reviewing/approving bank reconciliations.
- Ensures C&E transactions are reconciled within NetSuite recordkeeping application and align to government reporting deadlines and requirements.
- Reviews open purchase orders for services rendered to establish accruals or encumbrances against budget.
- Supports C&E by ensuring timely closure of previous month by the 10th business day of each month by reviewing and analyzing month-end financial data; records adjustments as necessary.
- Reconciles Quarterly tax filings to GL for C&E.
- Establish pre-paid expenses (e.g., insurance, interest expense, etc.) to recognize expense in proper month.
- Creates and maintains NetSuite grant sub-system by verifying deposits and off-setting deferred revenue.
- Verifies applicable bank deposits.
- Supports fiscal year-end closure activities as required.
- Supports fiscal year-end closure activities as required.
- Performs quarterly reviews, semi-annual adjustments, and supports the annual financial planning and budgeting process.
- Annually creates program budgets/forecasts based on funding values and allocates anticipated expenses related to wages, third party contracts, facilities and technology providers, licencing, supplies, travel, professional development and association admin fees. Upon review and approval from C&E Leader, uploads established budget/forecast into NetSuite.
- Verifies and correct coding as require. Sometimes enters purchase orders and expense reports to ensure accurate postings within the general ledger on an item-by-item basis.
- Performs all other duties as assigned to support operations.
- Maintains confidentiality of information related to the Association, members and staff.

Job Requirements:
- Be a minimum of 18 years of age.
- Be legally entitled to work in Canada.
- Have current and satisfactory Criminal Reference Check and Vulnerable Sector Search issued no later than ninety (90) days preceding your start date.
- Provide 3 professional references.
- Have university or college degree or diploma in accounting or related discipline and/or combination of equivalent related education and experience.
- Have minimum three years of accounting experience, preferably in a non-profit/charitable organization
- Have strong working knowledge of Microsoft Office programs and applications including but not limited to Outlook, Excel, Word, and Teams.
- Have working knowledge of HRIS (Oracle NetSuite) and recreation management software (ACTIVENet) an asset.
