JOB SUMMARY

Secretaries provide a full range of secretarial, reception and administrative support services.

 

KEY DUTIES – RESPONSIBILITIES

  • Office and telephone reception – providing a warm welcome to prospective and active clients, their families, and/or the community
  • Responds to enquiries by internal and external stakeholders
  • Assist with entering data into various systems
  • Types and distributes documents and correspondence
  • Attends and takes minutes at various meetings
  • Maintain a petty cash system
  • Maintain filing systems and inventories of office supplies, furniture and equipment, as required

 

Hours of work are 37.50 per week. The normal workday is 8 hours, including a 30-minute unpaid lunch break. Working in a busy office environment with frequent interruptions. Some evening and weekend work may be required.

What you will bring

  • College diploma in a relevant program
  • Minimum 3 years recent and relevant secretarial experience, including reception, in an office setting
  • Experience in a mental health, addiction or social service setting preferred
  • Accuracy and speed when keying (minimum 60 wpm)
  • Intermediate computer skills
  • Basic spreadsheet knowledge
  • Confidentiality, maturity and good judgment
  • Strong organizational, interpersonal and communication skills
  • Understanding role boundaries and limitations when dealing with clients and diligent with seeking out supervisor’s assistance
  • Ability to manage multiple tasks in a busy office setting
  • Sensitivity to the needs and rights of people with addiction and mental health problems
  • Experience in the use of graphics and desk top publishing software would be an asset
  • Proficiency with OTN equipment and scheduling procedures would be an asset
  • A valid Canadian driver’s license and the use of a reliable personal vehicle
  • Minimum $2,000,000 third party liability vehicle insurance
  • A satisfactory police record check including vulnerable sector screening
